FAQ

Q. Can I call in any time to dictate?
A. Of course! Our digital dictation system is accessible 24/7 from any touch-tone telephone. Just dial our 1-800 toll-free phone number, enter your personal ID and password. You can rewind, forward and pause while dictating. Any file can be marked urgent at any point of time during or after the dictation. Back to Top

Q. What is the benefit of using a digital recorder compared to a call-in dictation?
A. Honestly – costs. Call-in involves long distance, so we charge extra for phone-in dictation. Our system allows doctors to dictate on any hand-held or walk-about of their choice, and then to upload the dictations via the Internet. Back to Top

Q. Do you transcribe from tape cassettes?
A. Unfortunately we cannot. Cassette tapes result in an analog output, and we require a digital output. Back to Top

Q. How do I sign up for a no-obligation 1000-line free trial?
A. Fill up for a Free Trial form or call us 800-214-4452 or 202-857-8000. Back to Top

Q. How do I send (upload) the dictation from my digital recorder?
A. Log on using your personal ID and password. Dock (connect) the recorder to your Internet-connected PC, select “Upload” from the menu, and enter. Call us if you have any problem uploading, we will walk you through our system. Back to Top

Q. Can I have the same transcriptionist to transcribe my reports?
A. It is always our practice to assign transcriptionists who best meet the doctor’s specialty and needs. Back to Top

Q. What does the 3-stage verification process in quality assurance mean?
A. Once the dictation, along with the template is uploaded, our system assigns the file to a specific MT. (1) The MT logs in the system and downloads the files to his/her own PC and transcribes the file. (2) Another MT relistens and corrects the transcript. (3) Then a Quality Assurance (QA) editor goes through the transcript again. The final transcript is uploaded to the system and delivered to the doctor’s computer. Back to Top

Q. Can I check the progress of my report any time?
A. Yes. Just log into our system using your ID and password and you can check the status of the transcription. Back to Top

Q. Can I make changes to a report?
A. All reports are returned electronically, so you can always make changes on your own. Back to Top

Q. How do you safeguard the transmission of my reports?
A. Data security and integrity are our top priorities. Safeguarding client information and reports is not only a legal requirement but also our ethical obligation. We maintain strict policies on the confidentiality, privacy and security of such information. We train and educate our staff and our customers about these policies, and adherence is continually reinforced.
Client information, whether in transmission or at rest, cannot be accessed without proper authorization. It cannot be intercepted, decrypted, or altered because we have advanced firewall protection, 24-hour intrusion detection, 128-bit Secure Socket Layer (SSL) encryption. Our system exceeds HIPAA requirements. Back to Top

Q. How much per line do you charge?
A. Our rates are highly competitive with other services and they depend on the type of health specialty, turnaround times, mode of dictation and volume. We follow the AAMT recommended 65-character line standard. Please fill up a Request for Quote form and tell us about your specific needs, or call our Sales Office. We negotiate long-term contracts and provide volume discount. Back to Top

Q. What turnaround time do you offer?
A. We offer 48, 24, and 12-hours turnaround time. Any dictation received after 7PM is considered next-day work. At the present time, we cannot offer STAT transcription service. Back to Top
